Motor Vehicle Use Procedure

Online training:

  • All employees who drive for institutional business no matter which car they use, must take the annual training regardless of frequency and location of driving.
  • Since driving on institutional business can mean just driving your car from one building to another, everyone will be required to take the online training.
  • Training will be done annually in August at the start of the semester and at the beginning of employment. If someone is hired within six months of the annual training, they won’t be required to take it again until the following August;
  • HR will verify that all employees have taken the training.

Driver Acknowledgement Form

  • This must be completed by any employee who does Special Purpose Driving. Special Purpose Driving is defined as travel you take when you fill out a travel authorization request. It is usually travel for professional development, meeting, workshops or conferences;
  • A Driver Acknowledgement From must be completed whether the employee is using a DSC vehicle or a personal vehicle;
  • A Driver Acknowledgement Form must be completed and attached to the travel request or a verification that a current form is on file;
  • The Driver Acknowledgement form will be completed annually;
  • Verification of a completed Driver Acknowledgement Form must be checked on a DSC vehicle reservation form.

MVR History Check

  • Employees who routinely drive state-owned vehicles must, on an annual basis, complete the MVR History Check.

Driver Notification

  • Employees will use the Driver Notification form to notify HR of any activity that may affect their ability to operate a motor vehicle for state purposes;
  • Any employee who becomes a Disqualified Driver may not drive on institution business until : (a) his or her Motor Vehicle Record has been reviewed by the Director of Human Resources and (b) the Disqualified Driver has satisfied the corrective, preventative and/or educational measures specified by the institution.

Responsibility of overseeing the MVR

  • The Department of Human Resources will oversee the proper implementation of the MVR procedure
